Introduction

On 25 May 2018, the new European General Data Protection Regulations (GDPR) came into effect. These regulations have been introduced to help protect people’s personal data and require all businesses to show how they collect and use that information when, for example, a person signs up to a participation event.

This privacy notice has been written to explain how Sea Change Sport will collect and use your personal information and to let you know how you can choose what information we hold about you.

Sea Change Sport Ltd is owned and run by Victoria Evans as a limited company. As a limited company, SCS is the data controller responsible for your personal information. SCS may process your data itself, via its affiliates including Mitchell Stafford Management, Women In Sport or through outside advisors or data processors who will process data on its behalf in accordance with all relevant data protection regulations. SCS and its affiliates are referred to herein as ‘SCS’, ‘we’, ‘us’ or ‘our’.

This privacy notice may be updated from time to time, and you should check this page occasionally to make sure that you are happy with the changes. We may also notify you of any changes via email if you have elected to receive these.

What personal information we may collect from you

Personal data means any information capable of identifying an individual. For example, your full name, postal address, email address, phone numbers, IP address. It does not include anonymised data.

We may process certain types of personal information about you, including:

  • Identity Data may include your name, title, date of birth and gender

  • Contact Data may include your billing address, postal address, email address and contact telephone numbers

  • Financial Data may include your bank account and payment card details

  • Technical Data may include your IP address, internet browser details, location and operating system on the devices you use to access the website

 

How we collect your data and where it is kept

You may provide us with your data when you access the SCS website. For example, when you:

  • sign up to register in events

  • send an email via the contact form on the website

  • enter a competition or challenge

  • send a direct email, or message via the SCS social media accounts on Facebook, Instagram, Twitter or LinkedIn

We collect your name and email address when you opt in to our challenge events via the website. This data is held in a private google email account. The Gmail privacy policy, can be read here.

Occasionally, we may collect your personal information directly from events that you attend or if you send us a direct email or social media enquiry. 

If you register for a challenge event, we collect your name, email address, country of residence and IP address. 

When you use the SCS site, we also receive certain automated technical data about your equipment, such as browsing activity and usage patterns. This data is collected and stored in Google Analytics.

How we use your data

We will only use your information where the law allows us to. SCS could transfer your personal information to other countries, including countries outside the European Economic Area in accordance with all relevant data protection regulations. When you register for a challenge, or send/reply to an email or direct message, we understand that you consent to SCS collecting your information and using it for that specific purpose only (such purpose may be further defined by any terms associated with, for example, a challenge registration). By providing us with your personal information, you also warrant to us that you are over 13 years of age.

When you enter into a challenge via our website or via email, social media, post or over the phone, we will collect personal information about you including your name, address, telephone number and email address and we may send you updates and notifications about SCS and our work

Your information may also be shared with a third-party service provider as follows:

Our website is hosted by Squarespace.Inc. (Squarespace). They provide us with an online platform which enables me to provide information about the Atlantic rowing challenge. Your information is stored securely by Squarespace. For the Squarespace privacy policy, you can find it here.

Our challenge groups are hosted on Strava. They provide us with an online platform which enables us to offer a place for challenge communities and the logging of challenge participation. Your information is stored securely by Strava. For the Strava privacy policy, you can find it here.

If we run a challenge this may be done in conjunction with our affiliates including third party advisors, the charity that SCS is fundraising for, Women In Sport, and with Mitchell Stafford Management, SCS’s PR company. We may share your data and information with such affiliates in order to administer the challenge.

If we operate any form of prize giving then, in order to deliver any prize, we also share your information with other service providers such as Royal Mail and other courier services. This is only to the extent necessary to perform these services.

Except where the law allows us to, or where we are required to share your information for legal or accounting reasons, we will not give, sell or rent your personal data to another third party.

How long I keep your information

When you sign up to an event, your information will be on our records unless and until you ask me to delete it.

Cookies

When you visit our website www.seachangesport.com hosted by Squarespace, cookies are used to collect certain information. Cookies are small pieces of data that websites store on a device. Cookies can enhance your browsing experience because they help websites to remember your preferences and understand how people use different features of the websites they visit. Your rights

You have the right to request a copy of the information that we hold about you. You can also ask us to correct or amend any of your personal information. To request a copy of the information we hold about you, or to request a correction or amendment, please contact me by email at victoria@seachangesport.com.

You also have the right to be forgotten. If you no longer wish us to retain the personal information we hold about you, and subject to our legal and accounting obligations, you have the right to request us to destroy such information.
